Which Resource Could Stop Your Entire Study?
A research plan can require dozens of things: participants, data, software, equipment, laboratory access, funding, specialist expertise, permissions, institutional cooperation, or simply enough time. Most of these constraints can be managed. Some can be substituted. Others can be scaled down.
But there may be one resource for which the answer is much less forgiving: if you do not obtain it, the study cannot proceed as designed.
That resource deserves special attention because it is not merely another item on your research checklist. It is a critical dependency. Identifying it early changes the feasibility question from the vague “Do I have enough resources?” to the much more useful “What exactly must be available for this study to remain possible?”
03 · What You Need to Know
Critical Resources Are Different From Ordinary Research Requirements
Feasibility is part of evaluating whether a research question can actually be investigated under real conditions. The FINER framework, for example, treats feasibility as one criterion for evaluating research questions and includes considerations such as time, funding, participant or data availability, institutional support, personnel, and expertise. Feasibility research likewise examines uncertainties involving recruitment, data collection, analysis, resources, and the capacity to deliver a proposed study.
The practical difficulty is that simply listing every required resource does not tell you which dependency matters most. A study may need twenty resources while being genuinely vulnerable to only one or two of them.
Necessary Does Not Always Mean Critical
Suppose you plan an interview study. You may need recording software, transcription, a quiet location, participants, and qualitative analysis software. All are useful, and several may be necessary in the original plan. Yet they are not equally critical.
If your preferred transcription service becomes unavailable, you might transcribe recordings yourself. If your institution does not license your preferred qualitative software, another package or a carefully managed manual coding workflow may be possible. Those constraints could make the project slower or less convenient without making it impossible.
If, however, your research question specifically concerns the experiences of nurses working in a particular specialist clinical setting and you cannot obtain legitimate access to that population, the problem is fundamentally different. Replacing them with an easily available convenience sample could change the population and therefore the question being answered.
Required resource
Something the current study plan expects to use, but which may have a viable substitute or workaround.
Critical resource
Something whose absence prevents the study from answering its intended research question without a consequential redesign.
Criticality Depends on the Research Question and Design
The same resource can be optional in one study and indispensable in another. Statistical software illustrates this well. A particular commercial package is rarely inherently critical if equivalent analyses can be performed with another suitable tool. But access to a specialized computational environment could become critical when a study depends on proprietary algorithms, licensed databases, or infrastructure that cannot reasonably be reproduced elsewhere.
The same reasoning applies to equipment. Losing access to one model of microscope may be manageable if another instrument provides measurements appropriate to the protocol. Losing access to the only facility capable of producing the measurement required for the primary outcome may stop the study altogether.
This is why checking whether your institution has the necessary facilities and research resources should go beyond confirming that equipment appears on an inventory. What matters is whether the resource you actually require will be available, suitable, and accessible when the study needs it.
Ask the Removal Question
One useful way to identify a critical resource is to mentally remove each major dependency from the study.
For every resource, ask: If this disappeared tomorrow, could I still conduct a defensible study that answers substantially the same research question?

Critical resource
This counterfactual test helps separate inconvenience from impossibility. Researchers understandably pay attention to resources that are expensive, sophisticated, or difficult to obtain. Yet the most expensive resource is not necessarily the most critical one. A modest permission letter, access agreement, dataset, or recruitment pathway may carry more feasibility risk than an expensive piece of software.
Look for Single Points of Failure
A particularly important critical resource is a single point of failure : one dependency whose loss has no adequate backup.
Consider a study that requires laboratory measurements. If three facilities can perform the required procedure, losing access to one may create inconvenience but not necessarily terminate the project. If only one instrument at one facility can generate the required measurements, the dependency is more serious.
Dependence alone does not automatically make a study infeasible. What matters is the combination of dependence and vulnerability. A resource can be indispensable yet highly secure. Conversely, a resource may be reasonably obtainable but still represent substantial risk if access depends on one person, one approval, or one uncertain arrangement.
This distinction becomes especially important when a project depends on resources that cannot be accessed reliably . The relevant question is not simply whether the resource exists. It is whether you can reasonably expect to use it under the conditions, schedule, and duration required by the study.
Your Critical Resource May Not Be a Physical Resource
Researchers sometimes interpret “resources” mainly as money, equipment, and software. In practice, the critical dependency may be less tangible.
Participant access: You may need a sufficiently accessible population meeting narrow eligibility criteria.
Data access: A secondary-data study may depend entirely on permission to obtain a particular dataset or on the dataset containing the variables required for the analysis.
Organizational cooperation: Field research may require an external school, hospital, company, community organization, or government office to permit recruitment or data collection.
Specialist expertise: A technically demanding design may depend on someone capable of performing or supervising a method that the research team cannot execute competently.
Ethical or administrative permission: Some forms of data collection cannot legitimately begin until required approvals and permissions are obtained.
Time: A longitudinal design may require a follow-up period that simply cannot fit within a fixed thesis, funding, or graduation deadline.
A study that depends on expertise you do not currently possess may still be feasible if you can realistically acquire the skill or obtain appropriate support. That is why assessing whether you have the skills needed to conduct the study is related to, but distinct from, identifying critical resources.
Availability Is Not the Same as Secured Access
This distinction is easy to overlook. A resource can exist without being available to you.
A university may own a laboratory instrument, but your project may not have priority access. A hospital may treat thousands of eligible patients, but you may not have permission to recruit them. A government agency may maintain the ideal dataset, but access may require an application whose approval is uncertain. A colleague may possess the necessary expertise, but that does not mean they have agreed to participate during your project period.
Watch Out
Do not treat the existence of a resource as evidence that your study can use it. For a critical dependency, distinguish between “it exists,” “I expect access,” and “access has been verified.” Those are materially different levels of feasibility evidence.
A Critical Resource Can Be Secured and Still Be Fragile
Even confirmed access deserves scrutiny when the entire study depends on it. Ask how stable the arrangement is. Could equipment be unavailable for maintenance? Could a collaborator withdraw? Could an organization change its priorities? Could a software license expire before analysis is completed? Could recruitment depend on one gatekeeper?
The more consequential the dependency, the more useful it becomes to consider redundancy or contingency. This is especially relevant when a project depends on one specialist , one piece of equipment , or one external organization .
The purpose is not to eliminate every dependency. Research routinely depends on people, institutions, infrastructure, and permissions. The aim is to recognize which dependency has the power to stop the project and manage that risk deliberately rather than discovering it halfway through data collection.

Finding the Resource That Actually Determines Feasibility
Hypothetical Example
A thesis using hospital records
A graduate researcher proposes a retrospective study examining whether selected clinical characteristics are associated with hospital readmission. The planned study requires access to historical patient records from a partner hospital.
List the dependencies The researcher identifies statistical software, a computer, supervisory expertise, sufficient time, ethics approval, hospital authorization, and access to records containing the required variables.
Remove each resource mentally Alternative statistical software is available. Another computer can be used. Additional methodological advice could be sought if necessary. These losses would create problems, but plausible alternatives exist.
Remove the hospital data Without access to suitable patient records, there are no observations on which to perform the proposed analysis. Obtaining a different dataset might require a new population, different variables, new permissions, and potentially a different research question.
Identify the critical resource The critical resource is not the software or even the computer. It is legitimate access to an appropriate dataset containing the information necessary to answer the research question.
Act before committing heavily The researcher investigates the hospital's data-access process, confirms whether the required variables are actually recorded and retrievable, determines what approvals are necessary, and assesses the likely timeline before treating the design as feasible.
The example illustrates why a generic inventory of resources is not enough. Several resources matter, but they do not carry equal consequences. The useful feasibility question is which missing resource changes the answer from “this will be difficult” to “this study cannot be conducted as intended.”

Stress-Test the Dependency Before You Commit to the Study
Once you identify a possible critical resource, do not stop at naming it. Determine how essential it is, how secure access really is, and what happens if it becomes unavailable.
A simple decision framework
If losing the resource would barely alter the study
Treat it as an ordinary requirement and plan an appropriate substitute if useful.
If losing it would increase cost, time, or difficulty but leave the research question answerable
Treat it as a feasibility constraint and develop a realistic contingency.
If losing it would require substantial methodological redesign
Treat it as a major dependency and verify access before committing heavily to the design.
If losing it would make the intended question unanswerable
Treat it as a critical resource. Secure or verify it before considering the study operationally feasible.
Where uncertainty cannot be resolved on paper, a small feasibility check before designing the full study may provide better evidence than repeated speculation. Feasibility and pilot work is specifically intended to reduce uncertainty about whether and how a larger study can proceed, including questions about recruitment, data collection, resources, and operational processes.
There is also a broader design principle here. The goal is not to remove every ambitious feature merely because it introduces dependency. Nor should feasibility become an excuse for choosing only questions that are easy to study. Instead, identify the resource that carries the greatest consequence, establish whether the dependency is defensible, and decide whether the resulting design represents the best study you can realistically complete .

Before Treating Your Study as Feasible, Check Its Critical Dependency
Before committing to the study, check:
List the participants, data, permissions, expertise, equipment, software, facilities, funding, and other resources the design genuinely requires.
For each major resource, ask what would happen to the research question if that resource became unavailable.
Separate resources with genuine substitutes from those whose loss would require substantial redesign.
Identify any resource whose absence would prevent you from obtaining the evidence needed to answer the intended question.
Verify access rather than relying on the fact that the resource exists or has been informally discussed.
Check whether access will remain available for the full period in which the study requires it.
Determine whether the critical resource depends on a single person, facility, organization, approval, or other point of failure.
Develop a realistic contingency where one is possible without changing the research question beyond recognition.
If uncertainty remains consequential, gather evidence through verification or a targeted feasibility check before proceeding.
